Are You Losing the Fight to Control and Manage Information?

Today's developers are offering companies of all sizes a way to make information accessible, movable and routable. While we often think in terms of document imaging (scanning, storing and retrieving documents), in many instances, the computer-generated data doesn't have to be a piece of paper. Computerized information such as word processing and spreadsheet files, electronic forms, e-faxes and e-mail can be created and stored electronically for distribution and further action. With less than 10% of the country's information currently stored in electronic form, there are tremendous opportunities for a solution.

The most obvious candidates for automated document management are organizations that literally run on paper - banks, insurance firms, healthcare institutions and federal, state and local governments. But any business that has multiple projects and deadlines can benefit from more efficient data management. An Atlanta-based advertising agency, is one example. John Carter, president, says, "Over the past two years, we've come to manage many aspects of our business using SCS-developed applications. The efficiency we've gained in areas such as media planning/placement and project management have allowed us to add several new clients without adding staff."

Applications that are prime candidates for document imaging/document control are customer/client service, accounts payable, medical records, claims processing and similar areas in which people handle large volumes of documents that must be accessed frequently. According to the Rheinner Group, a market research firm, most users see the need to improve their document control as the prime reason for implementing imaging and optical storage solutions. In today's increasingly competitive marketplace, it is interesting to note that improved customer service was the second most frequently stated reason for automation.

While corporate America tends to focus on enterprise-wide solutions to improve productivity and decision-making, SCS has found that most customers need to resolve very specific paper management problems. SCS also notes that many businesses are concerned about WORM (permanent, secure) storage support, work flow capabilities, support of Windows clients, display capabilities and application development tools.
